Exhibit Hall Booth

Each booth will include a six foot draped table and two chairs. There is a four table limit. Credit for sponsorships applied on the payment screen.

By registering for booth space, each exhibitor acknowledges that they, as legal representative of this company, has read, understands, and agrees to accept and abide by all conditions and regulations listed under exhibition regulations. The exhibitor also agrees that The Flute Society of Washington, Inc. nor any representative or board members of the organization, will be responsible for injury, loss, or damage that may occur to the exhibitor, their employees, or exhibit materials from any cause whatsoever, either prior to, during, or subsequent to the conference.

Convention Meal Options

We are accepting meal orders through February 9, 2026, and there will be no refunds after this date. If you wish to purchase any meals, please enter the quantity desired below each option.
There will be food trucks available both Saturday and Sunday. Convention staff will gladly pick up food orders. Information will be provided during setup hours.

Cabaret Buffett Dinner (Saturday)

Buffet will include freshly baked whole wheat rolls and butter, vegetarian Mediterranean soup, organic spinach and spring mix salad with assorted dressings, coleslaw salad, fire roasted chicken with a fresh corn salsa, garlic mashed potatoes, apple pie, cheesecake with whipped cream along with brewed unsweetened Iied tea, coffee, decaf, and hot tea. There will also be gluten free/vegan desserts options.

Country Breakfast
\\Plated breakfast featuring an assortment of petite scones, muffins, flaky croissants, and breakfast breads served with butter and fruit preserves. Hot options include scrambled eggs with fresh chives, fluffy pancakes, and savory breakfast sausage links with freshly sliced seasonal fruit. Beverages with include freshly brewed regular and decaffeinated coffee, a selection of hot teas, and chilled orange juice. Vegan & gluten-free option available.

Convention Program Book Ad

Book dimension is 8.5 x 5.5" and b&w print.

Copy size for a full page is 4.5 x 7.5 " and a half page copy is 4.5 x 3.5". Copy should be press-ready. PDF is the preferred format. Accepted files must be high-resolution black and white (JPG, TIFF or PDF files accepted). Half page ads must be horizontally oriented and full page and cover ads must be vertically oriented. To submit ad copy separately from this form, a link can be found on your confirmation email. Copy deadline January 11, 2026 Silver and Bronze sponsors may update to a full page ad, $50.

Flute Society of Washington Sustaining Membership

To exhibit at the convention the business must have an FSW sustaining/business membership active through March 1, 2026.
